Alevo legal
Terms of Service
1. Agreement
These Terms govern your use of Alevo, including its website, installed web app, payment pages, quote-approval pages and related services. Alevo is operated by Ubuntu Solu Labs (Pty) Ltd (trading as Alevo, "we", "us" or "our").
By creating an account or using Alevo, you agree to these Terms. If you use Alevo for a business, you confirm that you have authority to accept these Terms for that business.
2. Your account
- You must provide accurate account information and keep it up to date.
- You are responsible for protecting your sign-in details and for activity under your account.
- You must be at least 18 years old to create an account.
- Tell us promptly if you suspect unauthorised access to your account.
3. Using Alevo responsibly
Alevo provides tools for invoicing, quotes, payments, client records, business records and personal financial organisation. You may use it only for lawful purposes.
You must not:
- use Alevo to commit fraud, send unlawful content or infringe another person's rights;
- attempt to access another user's account, workspace or data;
- interfere with Alevo's security, infrastructure or availability; or
- reverse engineer, resell or provide unauthorised access to Alevo.
4. Your business and client data
You keep ownership of the information you create or upload to Alevo. You give us a limited right to host, process, display and transmit that information only to operate Alevo for you—for example, to generate an invoice, send it to a client, or display it in your workspace.
You are responsible for the accuracy, legality and permissions for the information you enter, including client, supplier and employee information. You must give your clients any notices and obtain any permissions required for your own business activities. Business customers can review our Business Data Processing Agreement for processor/operator arrangements.
5. Payments and third-party services
Alevo can help a business request or collect payments through supported providers, including Paystack and, where enabled for the relevant account and payment flow, Capitec Pay, Instant EFT or Ozow. The applicable provider handles checkout, payment authentication and processing under its own terms and privacy policy. Alevo does not hold card numbers or CVVs.
If a paid Alevo plan, subscription or other paid feature is offered to you, the price, billing period, renewal terms and cancellation process shown at checkout or in the app apply to that purchase. Unless required by law, payments already made for a current billing period are not refundable on a pro-rata basis.
6. No financial, tax or legal advice
Alevo helps organise information; it does not provide accounting, tax, legal, financial or compliance advice. You are responsible for checking that your records, invoices, quotes, tax treatment and payment terms are correct for your circumstances. Speak to a qualified professional where needed.
7. Privacy and security
Our Data & Privacy Policy explains what we process, why we use it, the providers that help operate Alevo, your rights, and our 60-day normal recovery and deletion process.
We use reasonable safeguards to protect Alevo, but no online service can guarantee uninterrupted availability or absolute security.
8. Account closure and records
You can request account closure from Settings. Closing an account ends normal access immediately. Ordinary deleted account and workspace data is securely retained for 60 days so it can be recovered, then permanently purged. Business financial records may use a documented five-year baseline, or remain on hold while an audit, payment dispute or legal claim is open. These exceptions are limited to the information needed for that purpose.
9. Specialized professional and industry workflows
Alevo is a software-as-a-service platform for electronic document generation, tax invoicing and workflow automation. Alevo is not an accounting firm, registered auditor, financial services provider, legal practice, medical scheme administrator or engineering consultancy, and does not provide professional, legal, tax, medical or engineering advice.
Healthcare practitioners remain solely responsible for the clinical and diagnostic accuracy of ICD-10, tariff and NAPPI codes. Alevo is not a medical-aid clearing switch, broker or bureau and does not guarantee that a claim will be approved, processed or reimbursed. Practitioners remain responsible for valid BHF and HPCSA credentials and all required patient or competent-person consents.
Legal practitioners acknowledge that the legal layout is presentation software, not a statutory trust-accounting engine approved under Legal Practice Council Rule 54. The firm remains responsible for operating and Section 86 trust-account compliance, client retainers, disbursements and audit outcomes.
Engineering, architectural and construction users acknowledge that retention deductions, work stages and payment-certificate calculations are configurable calculations made at the user's direction. Alevo does not provide advice on or accept responsibility for JBCC, GCC, FIDIC, NEC or other contract disputes, liquidated damages, incorrect IPC claims or contractual breaches.
Users remain responsible for their VAT-vendor status and SARS declarations. Alevo provides document and workflow tools; the user remains accountable for the validity, completeness and timely declaration of output tax and for checking that invoices meet applicable requirements.
10. Statutory records, credit notes and payment intermediation
Alevo is designed to preserve the integrity of issued billing records. Once a Tax Invoice has been issued, it must not be deleted or silently mutated in Alevo. A downward financial adjustment must be made through a linked SARS Section 21 credit-note workflow that records the original invoice, reason, amount and tax effect. The original document and the adjustment remain part of the audit trail.
This product rule supports reviewable records; it does not itself determine whether a document qualifies as a valid tax invoice or credit note under the Value-Added Tax Act 89 of 1991. You remain responsible for the transaction, VAT treatment, supporting evidence and SARS reporting, and should obtain professional advice where required.
Alevo is a technical payment intermediary. Paystack, Capitec Pay, Ozow or another enabled provider processes the customer payment and controls the applicable settlement flow. Alevo does not hold client funds, operate a client-money account, provide deposit-taking facilities, or act as a bank, payment institution or financial adviser. A payment redirect is not proof of settlement; the provider confirmation and verified webhook or reconciliation record control the payment status shown in Alevo.
11. POPIA operator arrangement
When you use Alevo to process information about your customers, patients, suppliers, employees or legal matters, you are normally the Responsible Party under the Protection of Personal Information Act 4 of 2013. Ubuntu Solu Labs (Pty) Ltd is the Operator and processes that information only on your documented instructions, to provide Alevo, and subject to confidentiality and security obligations.
You remain responsible for the lawful basis, notices, consent where required, accuracy, minimisation and professional obligations connected to the information you enter. Special personal information such as ICD-10 diagnostic codes, medical-scheme memberships and legal-matter file references must only be entered where necessary and lawfully authorised. Our Privacy Policy and Business Data Processing Agreement describe the safeguards and assistance available to you.
12. Electronic notices and customer support
You agree that we may send service notices, security alerts, receipts and other transactional communications electronically to the contact details on your account. You can opt out of marketing messages, but not messages needed to operate, secure or legally administer your account.
We aim to provide support through support@ubuntusolu.com. Support response times are targets unless a separate written service level applies.
13. Suspension, changes and liability
We may suspend or limit access when necessary to protect Alevo, comply with law, investigate misuse or address a security risk. We may change Alevo or these Terms from time to time. Material changes will be posted with an updated date and, where appropriate, communicated in the app or by email.
To the extent permitted by law, Ubuntu Solu Labs is not liable for indirect, incidental, special or consequential loss, rejected or delayed medical reimbursements, professional decisions, trust-account findings, construction disputes or incorrect tax treatment arising from use of Alevo. Nothing in these Terms excludes or limits liability, statutory duties or consumer rights that cannot lawfully be excluded.
14. ECTA disclosures, governing law and contact
These Terms are governed by the laws of the Republic of South Africa. Subject to applicable law, the parties consent to the jurisdiction of the Magistrates' Court for disputes within its jurisdiction. Please contact us first so we can try to resolve concerns directly.
